Why your Call Accounting needs UCaaS and your UCaaS needs Call Accounting

By Matt Maloney on Sep 6, 2022

UCaaS apps such as Zoom, Microsoft Teams, and RingCentral have become commonplace across the business environment. UCaaS has become business critical services and is now a major factor to SaaS application growth and waste.

By 2026:
• SaaS spend will grow by 187% to $317B*
• UCaaS will consume up to 15% of SaaS spend
• UCaaS waste will average between 30-50%, resulting in $24B in potential waste annually
• SaaS waste will average 30%, resulting in $81B in potential waste annually

*With the Gartner Public Cloud Service Forecast prediction of 40% (MM: Where did we get this number from? See below for the source data) growth of overall SaaS (including UCaaS) applications in enterprises by 2026, sprawl is here and is becoming a major challenge for organizations.

Do You Know Your EMEA Mobile Phone Costs?

By Robert Noble on Jun 14, 2022

The European telecom market is highly fragmented - even the smallest countries host as many as four mobile operators simultaneously. As operators compete for territory, cut-throat price wars saddle many with debt, limiting their ability to upgrade their networks.

As a result, calls for consolidation have grown louder. Larger players, such as Vodafone (UK), Telenor (Norway) and Telefonica (Spain), have urged policymakers to allow European mobile operators to merge and invest more in networks to keep pace with peers in Asia and the US.

Until such consolidations are made, enterprises will need to grapple with various carriers, contracts, and levels of coverage. Doing so successfully is only possible when employees have the tools they need to stay connected, supported and productive at all times. Managed Mobility Services (MMS) provides centralised technology to maximise productivity throughout the company.

Communicating Across Borders: How to Streamline Your Telecom Costs

By Robert Noble on May 11, 2022

The telecom market is anything but standardised. Multinational businesses operating across Europe, the Middle East and Africa need to deal with various operators across various countries.

The fragmentation goes beyond country borders. Bill quality and formats, language barriers and currency differences feed into the fragmented nature of the telecom market.
As a result, businesses often struggle to understand their overall telecom spend, driving up unnecessary costs. A robust global technology expense management (TEM) solution can help international companies analyse and manage expense data efficiently by offering full inventory transparency.

Let's look at the fragmented nature of telecoms in EMEA and the complicated spend management associated, to explore and explain the full utility of TEM software.

Mistakes Made with Microsoft Teams and Zoom Calling Plan Implementations

By Matt Maloney on Jan 26, 2022

The business environment has undergone numerous recent transformations, including the decoupling of person-to-person communication from traditional telephony platforms. Permanent changes in the nature of enterprise collaboration have also come about, driven by the pandemic-inspired move toward a hybrid workforce. Users are more often using their mobiles rather than desk phones, for example, and reliance on direct peer-to-peer communications has also increased.

In this new landscape, cloud-based collaboration tools are now prolific, but they create new challenges for enterprises. Many of these digital channels were launched quickly, without the typical processes in place to manage costs and oversee sprawl. And now that the durability of solutions such as Microsoft Teams and Zoom is becoming clear, companies face a steep learning curve as they work to control spend across these new platforms.

Such a change in service could create significant difficulties for international companies with employees travelling abroad for work.

Rolling Out a New COPE Program for Your Employees

By Billy Howes on Sep 3, 2021

Corporate-owned personally enabled devices, or “COPE”, is a reemerging trend as enterprises continue to adapt to new ways of working. Where BYOD creates IT management and support complications, as well as security risk, the advantages of COPE programs include lower costs and lower risks. The key factor is that the approach also empowers employees to use these company owned devices for personal activities including social sites, e-mail, and calls, inevitably passing savings along to the employee, as well.

The Advantages of COPE: How Your Enterprise Can Save in a Corporate-Owned Program

By Billy Howes on Jul 16, 2021

With all the industry buzz around BYO programs for businesses, it can be hard to know which to choose. With more employees working remotely than ever before, BYO is not going away any time soon, and seems to be growing more in popularity by the day. One device program that is gaining more adopters is what is called COPE, or Corporate Owned, Personally Enabled. As a hybrid between BYOD and Corporate owned device programs, COPE allows employees to use company owned devices for personal activities including social sites, e-mail, and calls while mitigating risks and lowering costs for the employer.  This is a win-win for everyone, especially the company because of the hard and soft savings benefits of the program. The company lowers the cost of IT, licensing, security, maintenance, and even the cost of the plans and phones themselves.

5 Things to Consider Before Deploying a BYO Strategy

Over two thirds of Americans have a smartphone and almost half have a tablet. With so many devices already in hand, many companies are implementing BYO programs. However, there are many things for a company to consider before electing to go BYO.

First, there needs to be a thorough understanding of the BYO approaches and their implicationsThe four types of programs companies can choose when dealing with devices and employees:

  • BYOD (Bring Your Own Device)
  • CYOD (Choose Your Own Device)
  • CLEO (Corporate Liable Employee Owned)
  • COPE (Corporate Owned Personally Enabled)
Each type of program has its own set of advantages and disadvantages.

These vendors have built a successful practice around finding billing errors or cost reduction opportunities for clients and sharing a percentage of the monies recovered or the savings achieved. From the early days of telecom expense management (TEM) to today, most enterprises take advantage of this standard service, either as a one-time engagement or on an ongoing basis.

The Deployments, Strategies and Benefits of "Bring Your Own"

By Billy Howes on Jul 1, 2021

BYOD is being used more and more for businesses in both terminology and practice.

But what exactly is BYOD, and what does it mean for companies? BYOD stands for Bring Your Own Device, and it allows employees to do work on their own devices to access a company’s network and data rather than rely on the company to provide the hardware. Upwork estimates that 1 in 4 Americans will be working remotely thru 2021 which further supports the popularity of BYOD. Millennials are also driving the trend, thinking their personal devices are more effective and easier to use than devices provided by their employers.

Calero-MDSL Recognized by SIIA as Best Fintech Solution

By Stephanie O'Malley on Jun 23, 2021

Index License Manager Earns Prestigious Industry Recognition as part of the 2021 CODiE Awards

WASHINGTON, D.C. (June 22, 2021) - Calero-MDSL, a leading provider of Technology Expense Management (TEM) and Market Data Management solutions, today announced that their Index License Manager (ILM) product has been named the best Fintech Solution of 2021 as part of the annual SIIA CODiE Awards. The CODiE Awards recognize the companies producing the most innovative business technology products across the country, and around the world.

Index licensing fees have skyrocketed through valuation-based fee models that increasingly benefit index providers. The ILM platform reduces manual processes for both the buy-side and sell-side, automates reporting capabilities and vendor declarations, improves cost allocation methodologies (e.g. to funds), and helps conform with recently enforced benchmark regulations and IOSCO’s Principles for Financial Benchmarks. The centralized database contains index data licenses, benchmark licenses, reporting licenses, and all other index license types, with an intuitive user interface developed specifically for index license management. The result is an informed and complete holistic dashboard view of an organization’s enterprise-wide licensing with all index providers. Index License Management from Calero-MDSL has previously won the same SIIA CODiE Award in 2020.

“Congratulations to all of the 2021 Business Technology CODiE Award winners,” said SIIA President Jeff Joseph. “The products honored this year hold a particularly special place in the distinguished history of the CODiEs. Many of these winners literally helped business survive, and even thrive, as the global business community transitioned to remote status due to the pandemic. All those honored today demonstrate the resilience of this dynamic industry. Innovation continued even in the face of an unprecedented challenging year.”

Shadow IT: The DIY SaaS That Puts Systems At Risk

By Giulio D'Ali & Simon Mendoza on Jun 3, 2021

Shadow IT has long been a common business unit practice. When the wait for an approved solution from the corporate IT department feels too long, users navigate around the corporate policy and find their own solution. While there’s immediate relief to a pain point, there are compound long-term security and spend implications. How can an organization recover and take control?

Even the most benign of SaaS solutions can put a company at risk, functioning outside the parameters of IT security, privacy, and regulatory requirements. And the inherent challenge with SaaS, is that the risk is not a static moment in time. The institutional intelligence lives on in the cloud even as the user discontinues software usage. This means long-term exposure to both security breaches and spend.

What’s Next for Technology Expense Reporting and Maintaining Data Integrity

By Paula Seddon, Richard Flisik, Jasper Gray and Viral Patel on Jan 5, 2021

Opportunities to waste money and spend needlessly abound in your budget line for telecom and related technology expense, mainly because there’s so much to keep track of, and so many ways to look at it.

It used to be that every employee in your company had a desk phone that you needed to keep track of. Today, they may still have a deskphone, but they also have a mobile smartphone, a tablet, a laptop computer, and perhaps even a desktop computer. Multiply by your company’s total headcount and you have one very substantial set of fixed assets to keep track of. But that’s just the beginning.

Most of these devices have telecom services associated with them. Users that travel or work outside the office may have a wireless access account.

Then there are the data and cloud services each user requires. Each needs a datacom service account as well as voice. You’ll want to provide the same productivity, communications, and collaboration platform to each so they can conference, work on documents together, and see each other no matter where each of them is located. Any cloud user must also have security, data backup, anti-malware, and other utility services to operate safely.

Do Nothing

The easiest way to waste money is to do nothing, that is, do nothing when an employee is terminated. Leave their mobile data, voice, and cloud accounts open. Don’t reassign their devices to anyone and instead go ahead and buy new ones. After a relocation, just leave the services at the former location fully provisioned so someone can pay a bill for services that are no longer in use. When you stop to think about it, many of these things can easily go unnoticed and remain completely invisible to you, perhaps until audit time. It happens more often than you’d imagine.

Depends on How You Look at It

Today’s technology expense management (TEM) solutions are rapidly developing an enhanced ability to interact with all this data to produce the kind of reports that will help you streamline your communications operations in every way possible. Reports can readily be scheduled with proactive alerts for stakeholders based on release or specific thresholds, and are refreshed whenever data is updated.

One dashboard can show you many things:

  • Registered users who have zero activity but you’re still paying their bill
  • Services with zero activity by location, including some you no longer occupy
  • Which departments are consuming the most voice, data, and cloud services, including those for which you pay based on consumption.
  • Which projects are consuming the most voice, data, and cloud services, including those for which you pay based on consumption.
  • Which individuals are consuming the most voice, data, and cloud services, including those for which you pay based on consumption.
  • How close you are to exceeding your committed quota for cloud and other quota-subscribed “consumption based” services after which you’ll start running up overage charges.
  • The performance of the “pooled” minutes programs you’re using. Are you oversubscribing? Undersubscribing?
  • Which carriers and vendors are you patronizing most? This information will be useful the next time you’re negotiating rates with them.
  • Key Performance Indicators (KPI) including total mobile spend, total landline spend, total cloud spend, top talkers, and more.
  • Activity by user, by geographic region, by period of time, by department or business unit, by carrier, and more

These dashboards enable those responsible for management of telecom and datacom expenses to drill down into any given data point from a variety of different perspectives or views. Once they’ve found what they’re looking for its easy to generate a report that answers the specific questions they have.

Sharing Insight

Nobody has a corner on all the good ideas, so the best TEM providers are sharing innovative report formats among all users of their dashboards, making it easy for other managers to explore their own data in new and perhaps more productive ways. Technology continues to grow as a proportion of your balance sheet. The more it grows, and the more your company grows, the more vigilance you need to maintain over these expenses. Talk to MDSL to learn more about how a quality TEM provider contributes to your bottom line.

Architecting an Effective Enterprise Taxonomy is the Key to Cloud Expense Management

By Calero-MDSL on Jan 29, 2020

Updated January 18, 2022

Cloud Services Can Provide Much Greater Insights for Expense Management

Telecom carriers offer little ability to customize the data structure of their telecom invoices. For the most part, invoice reports are architected from the carrier’s perspective (i.e., with emphasis on what needs to be paid). This structure is primarily due to regulatory and compliance standards around USOC (Universal Service Ordering Code), tariffs, rates, service types and products and automated Electronic Data Interchange (EDI). As a result, organizations must create workarounds that programmatically correlate the only customer-defined field in the invoice (i.e., the subaccount) with the appropriate cost center owner. They must also augment other information in the invoice feed to ensure the expenses are properly allocated in accordance to the current cost center assignments.

Steps to Shift Your Organizational Focus from Basic Control and Compliance to Spend Optimization

By Felix Lau on Sep 11, 2019

Let’s think big.

A multi-national company operating in about 1,000 locations spread among more than 25 countries will likely require 30,000 telecom circuits of varying kinds to support perhaps 400,000 phone extensions costing about $150,000,000 per year. Each month anywhere from 3% to 5% of those circuits and phone extensions get added, disconnected, upgraded, downgraded or otherwise changed.

12,900 to 21,500 changes. Who is keeping track of all that? How? And how many mistakes may be made each month? Overcharges, undercharges, charges for disconnected services, services that should have been disconnected but weren’t.

Five Business Intelligence Trends to Help IT Finance Teams Organize, Visualize and Respond

By Marc Straussberg on Apr 22, 2019

You might have plenty of data, but what are you doing with this data? Moreover, what is the data doing for you and your enterprise?

Data and analytics ultimately the drive spending decisions of future cloud, network, mobility and the overall IT budgets — so it’s imperative your enterprise is up-to-date on the latest capabilities. When used right, business intelligence (BI) can reveal your technology infrastructure’s pain points, illuminate where expenses are occurring and where they might be reduced, support benchmarking, and provide predictive and prescriptive analytics. BI can empower organizations to gain insight into new opportunities, assess demand and measure suitability of different services.

But what BI developments really have a measurable impact in streamlining and improving everyday processes — while also reducing costs? We narrowed it down to five of the most game-changing trends in BI for IT Finance teams.

Dynamic and Visual Reporting

With the ultra-modern capabilities offered by some BI platforms, digesting, analyzing and sharing relevant, real-time business insights is becoming easier and more intuitive. Today’s dynamic dashboard interfaces are able to simplify and display enormous amounts of data with applicable and responsive visual aids, such as:

• At-a-glance, easy-to-digest charts and graphs presenting a quick overview of usage and account activity.
• Map-based visualizations that allow enterprises to keep tabs on services spanning cities and other geographies. If a company is undergoing a major re-organization, this perspective can help your enterprise see where services are still active — and eliminate unnecessary recurring expenses.
• Calendar visualizations that offer visibility in terms of deadlines, contract renewals, invoicing and delivery dates.

Self-Service

Dashboards are increasingly designed with a self-service mentality, allowing users to build reports to display the data exactly how they want. IT teams can adjust the dashboard to fit their preferences — aesthetically and functionally. Personalization saves time, as users won’t need to sift through piles of irrelevant data to extract the information they need.

Without self-service capabilities, users need to export raw data into Excel spreadsheets so they can manually manipulate the data and distribute it to others. This a time-consuming, non-reproductible process that slows decision-making. Further, some BI vendors charge additional fees to create specified reports time-consuming and non-reproductible, slowing down decision-making.

Cloud Reduced Your Costs - But You Still Need to Track Them!

By Mark Bellingham on Mar 5, 2019

Your migration to cloud computing was a great decision. You’ve all-but-eliminated any capital investments on equipment. You’ve removed many operating expenses, too, including rent, electrical power, HVAC space cooling, equipment maintenance, on-staff administrators and managers, and more. You’ve replaced all of that with a single monthly expense that is consistent, predictable, and budgetable.

Or is it?

One of the Essential Characteristics of Cloud Computing

In 2011, the National Institute for Standards and Technology (NIST) published                                                                                     "The NIST Definition of Cloud Computing.” One of the “Essential Characteristics” listed in this brief document is:

Rapid elasticity. Capabilities can be elastically provisioned and released, in some cases automatically, to scale rapidly outward and inward commensurate with demand. To the consumer, the capabilities available for provisioning often appear to be unlimited and can be appropriated in any quantity at any time.

This coordinates elegantly with another essential cloud characteristic, “resource pooling.” Economies are achieved by having all users share from one pool of resources, requesting them and releasing them as needed. Finally, another essential service, “measured service” enables cloud service providers to measure all utilization and bill each user only for the services and resources they’ve actually used.

This has translated into one of the most attractive customer benefits of cloud computing, the fact that you only pay for the resources you’ve used. This is commonly referred to as “consumption-based billing” and it would seem like a wonderful advantage, which it is… as long as it is managed properly.

Managing Cloud Expenses

American author Thomas Charlton first wrote in 1809 that “the price of liberty is eternal vigilance.”

Applied here, cloud has dramatically reduced not only capital and operating costs, it has also minimized customer involvement in operating their own IT environment. While that is indeed “liberating” in that it frees personnel to accomplish far more important and valuable activities, cloud spending requires constant vigilance. Failure to exert such vigilance may often result in very unpleasant surprises. Some of these may even be career-threatening.

After a few months, invoices arrived. But some of these invoices didn’t resemble the subscription’s indicated maximum because some of these new cloud arrivals had overrun their intended limits. They consumed too much cloud. In some cases, way too much cloud. These unfortunates found themselves holding unanticipated invoices for tens or even hundreds of thousands of dollars.

Even today, those who are just now adopting cloud computing are struggling to improve their governance to prevent a proliferation of uncontrolled cloud projects.

Cloud and Your Offboarding Process

When new personnel join your cloud-computing-based-company, you routinely purchase them subscriptions for the services they will use.

Or do you first check to see if you already have “seats” that were formerly used by someone who has left your company? Many companies neglect to include cloud subscriptions in their offboarding checklist, and don’t have an accounting procedure in place to tick and tie the number of users to the number of “seats” currently under subscription.

The result is the purchase of new subscriptions when there is still time left on idle ones. Then, that usable time simply runs out unused.

The New Cloud Expense Accounting

The migration from on-premise to cloud computing brings with it a need to migrate from on-premise-style accounting to new processes designed specifically for cloud-computing environments. In turn, these new processes require the support of systems designed specifically for Cloud Service Expense Management (CSEM). This includes visibility and management of cloud service consumption well before you exceed thresholds, and that you use existing resources before you buy new. More fundamentally, CSEM enables you to track and reconcile all of your cloud services to approve payment of invoices with confidence.

An efficient, effective CSEM solution also interfaces directly with SAP, Oracle, or whatever enterprise resource management (ERP) solution your company depends upon to run the business.

With acceptance and adoption of cloud computing fast becoming the standard, the need for CSEM has increased dramatically. MDSL has enhanced our popular Technology Expense Management (TEM) to create a new, powerful CSEM solution that allows you to manage your cloud spend as closely as you manage every other cloud performance factor. How the Most Successful Companies Use Automated Invoice Processing
